A travel advisor or other intermediary accepting these Terms confirms that they are authorised to act for the Client and Guests.

Mandatory consumer rights belonging to a Guest are not removed because the Booking was made through an intermediary.

07 Policy Section

BOOKING REQUESTS AND CONFIRMATION

A website enquiry, availability request, proposal request or payment attempt does not automatically create a confirmed Booking.

A Booking is confirmed when Passport Lifestyles issues written confirmation containing one or more of the following:

  • Booking reference.
  • Confirmed voucher.
  • Confirmed invoice.
  • Written confirmation email.
  • Equivalent confirmation record.

Some services require confirmation from a Supplier, venue, authority, vessel operator or aircraft operator.

For such services, payment may initially be treated as an availability request.

Where Passport Lifestyles cannot confirm a paid request, the Client may select:

  1. A 100% refund.
  2. An alternative date.
  3. A comparable alternative.
  4. A higher-value alternative offered without additional charge.
  5. A credit valid for at least 12 months.

The Client is not required to accept an alternative.

08 Policy Section

BOOKING ACCURACY

The Client must check the Booking confirmation promptly and inform Passport Lifestyles of any error.

Passport Lifestyles will correct clerical errors under its control without charge.

The Client is responsible for providing accurate:

  • Guest names.
  • Contact details.
  • Hotel information.
  • Flight information.
  • Cruise information.
  • Passenger ages.
  • Identification details.
  • Passport details.
  • Guest weights where required.
  • Dietary requirements.
  • Accessibility information.
  • Pickup location.
  • Travel dates.

Names used for tickets, permits, manifests or reservations must match official identification where required.

Where incorrect information provided by the Client creates a genuine Supplier cost, Passport Lifestyles may charge only the actual and unavoidable cost, after explaining it to the Client.

09 Policy Section

PRICES AND INCLUSIONS

The price and principal inclusions will be stated on the relevant:

  • Product page.
  • Quotation.
  • Proposal.
  • Invoice.
  • Booking confirmation.

Passport Lifestyles will clearly state whether the price includes or excludes:

  • GST.
  • Monument entry.
  • Attraction entry.
  • Guide service.
  • Vehicle.
  • Fuel.
  • Toll.
  • Parking.
  • Interstate tax.

  • Equipment.
  • Hotel accommodation.

  • Other mandatory charges.

A Guest will not be required to pay an undisclosed mandatory charge at the point of service.

Where an unavoidable mandatory charge was omitted from the confirmed price, Passport Lifestyles will:

  1. Pay the charge;
  2. Refund the Guest where the Guest has paid it; or
  3. Permit cancellation of the affected service for a 100% refund.

Optional gratuities are voluntary unless clearly included in the Booking price.

10 Policy Section

OBVIOUS PRICING OR DESCRIPTION ERRORS

Passport Lifestyles will honour genuine confirmed prices.

Where a price or description contains an obvious and material technical or typographical error, Passport Lifestyles will notify the Client before the Experience commences.

The Client may then choose:

  1. To proceed at the corrected price.
  2. To select an alternative.
  3. To receive a 100% refund.

Passport Lifestyles will not automatically charge the corrected price without the Client’s approval.

Minor grammatical or formatting errors that do not materially change the service will not invalidate the Booking.

11 Policy Section

TAXES AND GOVERNMENT CHARGES

Applicable taxes and government charges will be shown wherever reasonably possible.

Where a tax or statutory charge changes after confirmation but before commencement, Passport Lifestyles will explain the change.

Where legally permitted, the Client may cancel the affected service for a 100% refund if the increase is material and the Client does not wish to proceed.

Passport Lifestyles will not use a general “taxes may apply” statement to introduce an avoidable or undisclosed charge after payment.

12 Policy Section

CURRENCY AND PAYMENT CONVERSION

Prices may be displayed or quoted in Indian Rupees or another currency.

Where a converted currency is shown:

  • The conversion may be indicative.
  • The card issuer or payment provider may use a different exchange rate.
  • The Client’s bank may apply a foreign transaction charge.
  • Passport Lifestyles does not control charges independently imposed by a bank or card issuer.

The contractual transaction currency will be stated before payment.

An approved refund will ordinarily be processed through the original payment method.

Currency movements between payment and refund may result in a difference in the amount displayed by the Client’s bank.

Passport Lifestyles will not intentionally retain any amount arising solely from currency conversion.

13 Policy Section

PAYMENT TERMS

The required deposit, balance and payment deadline will be shown on the quotation, invoice or product page.

Passport Lifestyles will not charge for an optional service unless the Client has actively selected or approved it.

Where a balance remains unpaid, Passport Lifestyles will ordinarily send a reminder before cancelling the Booking.

Unless the Experience is due to commence within 48 hours, the Client will normally be given a reasonable opportunity to complete payment after the reminder.

Failure to pay by the final communicated deadline may result in cancellation.

Any refund due will be calculated according to the time at which the Booking is cancelled.

14 Policy Section

STANDARD CUSTOMER CANCELLATION POLICY

14.1Cancellation at Least 24 Hours Before Commencement

Where the Client cancels the entire Experience at least 24 hours before the Experience Start Time, Passport Lifestyles will provide a:

100% REFUND

No cancellation fee, administrative fee or payment-processing deduction will be applied.

A cancellation received exactly 24 hours before commencement qualifies for the 100% refund.

The Client is not required to provide a reason.

14.2Cancellation Less Than 24 Hours Before Commencement

Where the Client cancels less than 24 hours before the Experience Start Time but before the Experience commences, Passport Lifestyles will provide a:

50% REFUND

The retained 50% covers last-minute operational commitments that may include:

  • Reserved guide.
  • Reserved vehicle.
  • Driver assignment.
  • Representative assignment.
  • Tickets.
  • Operational planning.
  • Supplier commitment.
  • Staff and coordination costs.

No additional cancellation fee will be added.

14.3Cancellation After Commencement

Once an Experience has commenced, no fixed automatic refund percentage applies.

Passport Lifestyles will review:

  • Services already delivered.
  • Services not delivered.
  • The reason for cancellation.
  • Whether Passport Lifestyles or a Supplier caused the issue.
  • Whether the Guest voluntarily chose not to continue.
  • Whether a safety or medical concern was involved.

A fair remedy may include:

  • Proportional refund.
  • Replacement service.
  • Credit.
  • Rescheduling.
  • Another appropriate service-recovery solution.

No refund is normally due for a service that has already been fully used and properly delivered.

14.4Partial Guest Cancellation

Where only some Guests cancel, the refund will be calculated on the amount attributable to the cancelling Guests.

Where the reduced number of Guests changes the applicable group price, Passport Lifestyles will explain any genuine price adjustment before finalising the cancellation.

The remaining Guests will not be charged an arbitrary penalty.

14.5Cancellation Notice

The cancellation time is the time at which the Written Communication reaches an authorised Passport Lifestyles channel.

Passport Lifestyles will acknowledge the cancellation request as soon as reasonably possible.

15 Policy Section

CANCELLATION OF OPTIONAL UPGRADES

15.1Non-Transport Upgrades

Where the Client retains the main Experience but cancels only a non-transport Upgrade:

NO CANCELLATION FEE WILL APPLY

The Client will receive a:

100% REFUND

provided the Upgrade has not commenced or been fully delivered.

This customer protection applies even where the Upgrade is cancelled less than 24 hours before the main Experience.

Examples include:

  • Additional sightseeing.
  • Meal Upgrade.
  • Cultural activity.
  • Workshop.
  • Ceremony.
  • Experience extension.
  • Additional guide.
  • Photographer.
  • Premium access.
  • Souvenir or amenity Upgrade not yet delivered.
  • Non-transport concierge enhancement.

Where part of the Upgrade has already been delivered, Passport Lifestyles will refund the reasonable unused portion.

15.2Transport Vehicle Upgrades

Transport Vehicle Upgrades are subject to the standard cancellation policy because a specific premium vehicle may have been reserved and removed from availability.

Accordingly:

  • At least 24 hours before commencement: 100% refund.
  • Less than 24 hours before commencement: 50% refund.
  • After the upgraded vehicle has been dispatched or service has commenced: fair review based on the circumstances.

15.3Cancellation of the Entire Booking

Where the Client cancels both the main Experience and its Upgrades, the standard cancellation policy applies to the total Booking.

15.4Special Arrangements

A service requiring a separate non-refundable commitment must be identified as a Special Arrangement before payment.

An ordinary Upgrade will not retrospectively be reclassified as non-refundable.

16 Policy Section

RESCHEDULING BY THE CLIENT

A rescheduling request is subject to availability and becomes effective only when confirmed in writing.

16.1At Least 24 Hours Before Commencement

The Client may ordinarily request one date or time change without an administrative change fee.

The Client will pay only:

  • Any genuine increase in the new service price.
  • Any separately disclosed and unavoidable Supplier charge.

Where the replacement service costs less, the difference will be refunded.

16.2Less Than 24 Hours Before Commencement

Passport Lifestyles will make reasonable efforts to accommodate the requested change.

Where the Booking can be moved without a financial loss, no change fee will be applied.

Where a genuine cost has already been committed, Passport Lifestyles will explain it and offer the fairest available solution.

16.3Pending Change Requests

Until a requested change is confirmed, the original Booking remains valid.

Passport Lifestyles will not treat a request for information about changing a Booking as a cancellation.

17 Policy Section

NAME, PICKUP AND OTHER MINOR CHANGES

Reasonable minor changes will ordinarily be made without an administrative fee.

These may include:

  • Correcting a spelling error.
  • Updating a hotel.
  • Updating a telephone number.
  • Changing a pickup contact.
  • Adjusting dietary information.
  • Adding accessibility information.

A Supplier charge may apply where a ticket, permit, hotel reservation or passenger manifest must be reissued.

Any such charge will be explained before being incurred.

18 Policy Section

SPECIAL ARRANGEMENTS AND SUPPLIER-SPECIFIC CONDITIONS

Certain individually procured services may have stricter conditions, including:

  • Private aircraft.
  • Helicopter charter.
  • Aircraft positioning.
  • Exclusive yacht charter.
  • Special event ticket.
  • Venue buyout.
  • Celebrity or specialist appearance.
  • Specially issued airline or railway ticket.
  • Non-refundable hotel room.
  • Government permit.
  • Individually procured catering.
  • Specially manufactured or personalised item.

A separate condition applies only where:

  1. The service was clearly identified as a Special Arrangement.
  2. The cancellation condition was communicated before payment.
  3. The Client specifically accepted it.
  4. The non-refundable or restricted amount was identified as clearly as reasonably possible.

A hidden condition communicated after payment will not override the standard policy.

Passport Lifestyles will make reasonable efforts to recover Supplier payments.

Any recovered amount will be returned to the Client.

19 Policy Section

CANCELLATION BY PASSPORT LIFESTYLES

Where Passport Lifestyles cancels an Experience before commencement, the Client may choose:

  1. A 100% refund.
  2. Rescheduling without a change fee.
  3. A credit valid for at least 12 months.
  4. A comparable alternative.
  5. A higher-value alternative offered without additional charge.

The Client is not required to accept an alternative or credit.

Where the cancellation results from a proven and avoidable operational error by Passport Lifestyles, Passport Lifestyles will also fairly consider reasonable, documented and directly resulting expenses incurred by the Client.

20 Policy Section

MINIMUM PARTICIPATION

Where a shared Experience requires a minimum number of participants, this will be disclosed before payment.

If the minimum number is not reached, Passport Lifestyles may:

  • Operate the Experience as confirmed.
  • Offer an optional private upgrade.
  • Offer another date.
  • Offer an alternative.
  • Cancel and provide a 100% refund.

The Client will not be required to pay an unexpected additional amount merely because the minimum participation was not reached.

21 Policy Section

WEATHER, SAFETY AND EVENTS BEYOND CONTROL

Events Beyond Control may include:

  • Severe or unsafe weather.
  • Rough sea conditions.
  • Flooding.
  • Natural disaster.
  • Government restriction.
  • Port closure.
  • Jetty closure.
  • Monument closure.
  • Road closure.
  • Air traffic restriction.
  • Maritime restriction.
  • Strike.
  • Civil disturbance.
  • Public-health emergency.
  • Security incident.
  • Supplier suspension.
  • Authority direction.
  • Other events that could not reasonably have been prevented.

Safety will take priority over operating an Experience.

Where an Experience cannot commence due to an Event Beyond Control, the Client may ordinarily choose:

  1. A 100% refund.
  2. Rescheduling.
  3. A credit valid for at least 12 months.
  4. A suitable alternative.

The Client is not required to accept a credit.

Where a service has partly commenced and must be substantially shortened, Passport Lifestyles will provide a fair remedy, which may include:

  • Proportional refund.
  • Replacement activity.
  • Rescheduling of the affected component.
  • Credit.
  • Alternative service.

Passport Lifestyles will not pressure a Guest to continue an activity declared unsafe by the responsible captain, pilot, driver, guide, Supplier or authority.

22 Policy Section

ITINERARY CHANGES

22.1Minor Changes

Passport Lifestyles may make reasonable minor changes for:

  • Safety.
  • Traffic.

Minor changes may include:

  • Reversing the order of visits.
  • Altering the route.

  • Replacing a stop with a comparable stop.
  • Adjusting a meal time.
  • Substituting a comparable guide or vehicle.

No refund is automatically due where the essential nature and value of the Experience remain substantially unchanged.

22.2Material Changes

A material change may include a significant alteration to:

  • Confirmed date.
  • Main destination.
  • Essential character of the Experience.
  • Private or shared format.
  • Principal attraction.
  • Confirmed vehicle, vessel or room category.
  • Main advertised inclusion.

Where a material change is made before commencement, the Client may choose:

  1. To accept the change.
  2. To accept a comparable alternative.
  3. To reschedule.
  4. To receive a 100% refund.

Where a lower-category service is accepted, Passport Lifestyles will refund the reasonable price difference.

23 Policy Section

SERVICE QUALITY AND OMITTED INCLUSIONS

Passport Lifestyles will use reasonable care to deliver the confirmed Experience and its material inclusions.

Where a confirmed material inclusion is omitted because of an avoidable error by Passport Lifestyles, Passport Lifestyles will provide an appropriate remedy, which may include:

  • Supplying the missing service.
  • Providing a comparable alternative.
  • Refunding the value of the missing component.
  • Providing a credit or goodwill remedy.

A minor variation that does not materially reduce the value or nature of the Experience will be resolved proportionately.

24 Policy Section

LATE ARRIVAL

Guests should arrive at the confirmed meeting, pickup or boarding point at the communicated reporting time.

Where operationally possible, Passport Lifestyles will:

  • Allow a reasonable grace period.
  • Attempt to contact the Guest.
  • Assist the Guest in joining the Experience.
  • Adjust the route or timing.
  • Offer an alternative arrangement.

Some services may be unable to wait, including:

  • Shared tours.
  • Speedboats.
  • Yachts.
  • Helicopters.
  • Aircraft.
  • Timed monument entries.
  • Cruise excursions.
  • Event tickets.

A late start may reduce the available Experience duration where the delay was caused by the Guest.

Additional charges will not be incurred without the Client’s approval, except where urgently necessary for safety.

25 Policy Section

NO-SHOWS

A Guest who does not attend and does not cancel is treated as a no-show.

No automatic refund applies to a no-show.

Passport Lifestyles will nevertheless fairly review serious circumstances, including:

  • Medical emergency.
  • Flight cancellation.
  • Cruise delay.
  • Accident.
  • Bereavement.
  • Serious transport disruption.
  • Other exceptional circumstances.

Passport Lifestyles may offer:

  • Rescheduling.
  • Credit.
  • Partial refund.
  • Another fair remedy.

The Client may be asked to provide reasonable supporting information.

26 Policy Section

FLIGHT DELAYS AND AIRPORT SERVICES

The Client must provide accurate flight and terminal information.

Where an incoming flight is delayed, Passport Lifestyles will make reasonable efforts to:

  • Monitor the flight where the correct details were provided.
  • Adjust the pickup time.
  • Maintain the vehicle and representative.
  • Reorganise the itinerary.
  • Preserve the principal service.
  • Contact the Guest.

Any additional charge resulting from a substantial delay will be communicated before it is incurred wherever reasonably possible.

Standard Airport Waiting Time

Unless the Booking states otherwise, reasonable complimentary waiting will ordinarily include:

  • Up to 90 minutes after actual international flight arrival.
  • Up to 60 minutes after actual domestic flight arrival.
  • Up to 30 minutes for hotel or city pickups.

Passport Lifestyles will attempt to contact the Guest before treating an airport service as a no-show.

27 Policy Section

CRUISE SHIP DELAYS AND MISSED PORTS

The Client must provide accurate:

  • Ship name.
  • Cruise line.
  • Port.
  • Arrival date.
  • Arrival time.
  • All-aboard time.
  • Terminal information.

Where a cruise ship does not call at the scheduled port, the Client will receive a:

100% REFUND

Where the ship arrives too late for the booked shore excursion to operate, the Client may choose:

  1. A 100% refund.
  2. A shortened alternative with an agreed price adjustment.
  3. A replacement Experience.
  4. Credit or rescheduling.

This protection does not apply where the ship calls at the port with sufficient time but the Guest independently chooses not to disembark.

28 Policy Section

BACK-TO-SHIP CARE

Passport Lifestyles will plan shore excursions with a reasonable return buffer based on the ship’s communicated all-aboard time.

The Guest must:

  • Provide correct ship information.
  • Follow the confirmed itinerary.
  • Remain with the authorised guide or vehicle.
  • Follow reasonable timing instructions.
  • Avoid unauthorised detours or extended shopping stops.

Where a Guest misses the ship solely because of a proven operational failure by Passport Lifestyles, despite complying with these requirements, Passport Lifestyles will:

  1. Provide immediate reasonable assistance.
  2. Communicate with the cruise line where possible.
  3. Arrange reasonable onward transportation to the next scheduled port.
  4. Assist with practical arrangements.

Passport Lifestyles’ contribution towards onward transportation will be limited to reasonable and documented costs up to the higher of:

  • The amount paid for the affected shore excursion; or
  • INR 1,00,000 per Booking.

This limit does not apply where applicable law does not permit liability to be limited.

Back-to-Ship Care does not apply where the missed sailing results from:

  • Guest misconduct.
  • Guest refusal to follow timing instructions.
  • Unauthorised detours.
  • Incorrect ship information.
  • Immigration or customs detention caused by the Guest.
  • A medical incident unrelated to the service.
  • Events making return physically or legally impossible.

Passport Lifestyles will still provide reasonable assistance.

29 Policy Section

Marine Experiences are subject to:

  • Weather.
  • Sea conditions.
  • Tides.
  • Port and harbour directions.

  • Emergency decisions.

Guests must:

  • Follow safety instructions.
  • Wear life jackets when instructed.
  • Remain seated when required.
  • Avoid unsafe movement.
  • Supervise children.
  • Disclose relevant mobility or medical concerns.

Where a marine Experience is cancelled before departure for safety reasons, the Client may choose:

  1. A 100% refund.
  2. Rescheduling.
  3. Credit.
  4. A suitable alternative.

A comparable or higher-category vessel may be substituted without additional charge.

A lower-category vessel will be used only with the Client’s approval and a reasonable price adjustment.

Guests who are pregnant, recovering from surgery or experiencing serious back, neck or mobility conditions should consider medical guidance before participating in a high-speed marine Experience.

Passport Lifestyles will provide honest accessibility information and will not represent an Experience as accessible where physical conditions make it unsuitable.

30 Policy Section

ELEPHANTA CAVES AND HERITAGE EXPERIENCES

Guests will be informed where a heritage Experience may involve:

  • Uneven surfaces.
  • Steps.
  • Slopes.
  • Heat.
  • Humidity.
  • Crowds.
  • Limited wheelchair access.
  • Local transport.
  • Government-controlled entry.

Where the principal attraction is unexpectedly closed, the Client may choose:

  1. A suitable alternative.
  2. Rescheduling.
  3. A proportional refund.
  4. A 100% refund where the closure removes the essential purpose of the Experience.

Guests must follow:

  • Monument regulations.
  • Dress requirements.
  • Photography restrictions.
  • Security instructions.
  • Directions issued by authorities.

Passport Lifestyles will make reasonable efforts to support senior Guests and Guests with reduced mobility.

  • Baggage limitations.
  • Security requirements.
  • Identification requirements.

The Client must provide accurate:

  • Passenger names.
  • Identification details.
  • Approximate passenger weights.
  • Baggage details.
  • Special assistance requirements.

The aircraft operator may refuse baggage or passengers that exceed legal or safe limits.

Where an aviation service is cancelled by the operator before departure, the Client may select:

  1. A 100% refund.
  2. Alternative aircraft.
  3. Rescheduling.
  4. Credit.
  5. Alternative ground arrangements where requested.

A comparable or higher-category aircraft may be substituted.

A lower-category aircraft requires the Client’s approval and an appropriate refund of the price difference.

Estimated departure and arrival times remain subject to regulatory and operational clearance.

Any Special Arrangement cancellation condition must have been disclosed and accepted before payment.

32 Policy Section

VEHICLES, CHAUFFEURS AND TRANSFERS

The Booking confirmation will identify, where relevant:

  • Vehicle category.
  • Included hours.
  • Included kilometres.
  • Pickup and drop location.
  • Garage-to-garage calculation.
  • Additional-hour charge.
  • Additional-kilometre charge.
  • Toll and parking treatment.
  • Interstate taxes.
  • Chauffeur allowance.

Garage-to-garage calculation will apply only where disclosed before confirmation.

Additional hours, kilometres or detours requested during the service will be communicated and approved before being charged wherever reasonably possible.

Passport Lifestyles may substitute the confirmed vehicle with an equal or higher category without additional charge.

Where only a lower-category vehicle is available, the Client may:

  1. Accept it with a refund of the price difference.
  2. Select another available vehicle.
  3. Cancel the affected service for a 100% refund.

Chauffeurs must comply with applicable safety laws.

Unsafe driving, intoxication, aggressive conduct or improper mobile-phone use while driving should be reported immediately.

33 Policy Section

VEHICLE CAPACITY AND BAGGAGE

Vehicle recommendations may be based on:

  • Number of Guests.
  • Amount of baggage.
  • Comfort expectations.
  • Accessibility needs.
  • Route.
  • Journey duration.

The Client should provide accurate baggage information.

Where the selected vehicle cannot safely accommodate the declared Guests and baggage, Passport Lifestyles will recommend a suitable alternative.

Any price difference will be communicated before the change is confirmed.

Passport Lifestyles will not overload a vehicle beyond legal or safe capacity.

34 Policy Section

GUIDES, STORYTELLERS, HOSTS AND EXPERTS

Passport Lifestyles will make reasonable efforts to provide the confirmed guide or guide category.

A guide, storyteller, host or expert may be substituted because of:

  • Illness.
  • Emergency.
  • Regulatory restriction.
  • Unavailability.
  • Operational necessity.

The replacement should have reasonably comparable qualifications or experience.

Where a specifically named personality, expert or host is the essential reason for the Booking and becomes unavailable, the Client may choose:

  1. A suitable substitute.
  2. Rescheduling.
  3. A proportional refund.
  4. A 100% refund where the essential purpose cannot be delivered.
35 Policy Section

HOTELS AND ACCOMMODATION

Hotel Bookings may be subject to:

  • Check-in and check-out times.
  • Occupancy limits.
  • Identification requirements.
  • Security deposits.
  • Hotel rules.
  • Meal plans.
  • Room-category availability.

Passport Lifestyles will communicate the confirmed:

  • Hotel.
  • Room category.
  • Occupancy.
  • Meal basis.
  • Material inclusions.
  • Mandatory charges.

Where the confirmed hotel or room category becomes unavailable, Passport Lifestyles will offer:

  1. A comparable or higher-category alternative.
  2. Rescheduling.
  3. Refund of the affected component.
  4. A 100% refund where the accommodation was the essential purpose of the Booking.

A lower-category hotel or room will be provided only with the Client’s approval and an appropriate refund.

A stricter hotel cancellation condition applies only when disclosed and accepted before payment.

36 Policy Section

RESTAURANTS AND DINING EXPERIENCES

Passport Lifestyles will communicate, where relevant:

  • Restaurant.
  • Reservation time.
  • Set menu.
  • Included beverages.
  • Exclusions.
  • Dress code.
  • Cancellation conditions.
  • Dietary arrangements.

Dietary requests will be communicated to the restaurant.

Guests with serious allergies must clearly disclose them.

Passport Lifestyles cannot promise an allergen-free environment unless expressly confirmed by the restaurant.

Where a confirmed restaurant or dining Experience becomes unavailable, Passport Lifestyles will offer:

  • Comparable alternative.
  • Rescheduling.
  • Refund of the affected component.
  • Other suitable remedy.

Ordinary dining Upgrades remain fully refundable before commencement where the main Experience is retained.

37 Policy Section

CORPORATE EVENTS AND PRODUCT LAUNCHES

Corporate and event services may be supported by a separate:

  • Proposal.
  • Scope of work.
  • Production schedule.
  • Event order.
  • Commercial agreement.

The Client must confirm:

  • Guest numbers.
  • Timings.
  • Venue.
  • Branding.
  • Security.
  • Catering.
  • Transport.
  • Equipment.
  • Technical requirements.
  • Permits.

Material additions requested after confirmation may be charged only with the Client’s approval.

Passport Lifestyles will not charge for an unapproved addition unless it was urgently necessary to protect Guest safety or property.

The Client is responsible for intentional or negligent damage caused by its employees, Guests or invitees, subject to reasonable evidence.

38 Policy Section

MULTI-DAY JOURNEYS

Multi-day programmes may contain several separate components, including:

  • Accommodation.
  • Meals.
  • Transport.
  • Guides.
  • Tickets.
  • Flights.
  • Trains.
  • Assistance.
  • Activities.

The confirmed itinerary will identify the material inclusions.

Where the Client cancels the full programme, the standard cancellation policy applies, except for any Special Arrangement clearly accepted before payment.

Where the Client cancels only one component, Passport Lifestyles will calculate the refund for that component fairly.

A change to one component does not automatically cancel the whole itinerary unless the change makes the overall journey impracticable.

39 Policy Section

HEALTH, FITNESS AND ACCESSIBILITY

Guests should disclose relevant requirements, including:

  • Reduced mobility.
  • Wheelchair use.
  • Serious allergy.
  • Pregnancy.
  • Recent surgery.
  • Medical condition affecting participation.
  • Need for rest.
  • Dietary requirement.
  • Assistance requirement.

Passport Lifestyles will use this information only for:

  • Safety.
  • Service planning.
  • Reasonable accommodation.
  • Supplier coordination.

Passport Lifestyles will make reasonable efforts to accommodate:

  • Senior travellers.
  • Guests with disabilities.
  • Children.
  • Guests with medical or dietary needs.

Some heritage, marine, wildlife, outdoor or aviation Experiences may have unavoidable physical or regulatory limitations.

Where an Experience is unsuitable, Passport Lifestyles will explain the limitation honestly and try to offer a suitable alternative.

Passport Lifestyles may request medical guidance where a genuine safety concern exists.

40 Policy Section

CHILDREN AND MINORS

Children must be accompanied and supervised by a responsible adult unless otherwise agreed in writing.

Age, height, weight or identification requirements imposed by a Supplier or authority will be communicated where known.

Child seats may be requested for vehicle services and will be arranged subject to:

  • Availability.
  • Advance notice.
  • Vehicle compatibility.

A parent or guardian is responsible for deciding whether a child can safely participate after considering the disclosed conditions.

Children will not be charged as adults where a separate confirmed child price applies.

41 Policy Section

GUEST CONDUCT

Guests must behave respectfully and must not:

  • Endanger themselves or others.
  • Harass staff, Suppliers, residents or other Guests.
  • Damage property.
  • Carry prohibited weapons or substances.
  • Ignore essential safety instructions.
  • Behave violently or abusively.
  • Participate while dangerously intoxicated.

Passport Lifestyles may suspend or terminate a Guest’s participation where reasonably necessary for safety or legal compliance.

Where participation is terminated because of serious Guest misconduct, no refund is normally due for services already committed or delivered.

The Guest remains entitled to humane treatment and reasonable assistance.

42 Policy Section

ALCOHOL, SMOKING AND PROHIBITED ITEMS

Alcohol is permitted only where lawful and authorised by the relevant:

  • Venue.
  • Vessel.
  • Supplier.
  • Authority.

Smoking and vaping are prohibited:

  • Inside vehicles.
  • Inside aircraft.

Guests are responsible for obtaining and carrying valid:

  • Passport.
  • Visa.
  • Permit.
  • Identification.
  • Travel documentation.

Where Passport Lifestyles provides assistance, it acts as a facilitator unless expressly stated otherwise.

Passport Lifestyles will exercise reasonable care when handling original documents entrusted to it.

Visa, immigration and entry decisions remain with the relevant authorities.

Where a Booking is cancelled because of visa refusal, the standard cancellation policy applies.

Any separately accepted, genuinely non-refundable government or Supplier charge may be deducted only to the extent that it cannot be recovered.

44 Policy Section

TRAVEL INSURANCE

Guests are strongly encouraged to obtain suitable travel insurance covering:

  • Medical treatment.
  • Personal accident.
  • Cancellation.
  • Travel disruption.
  • Baggage.
  • Valuables.
  • Marine activities.
  • Emergency evacuation.
  • Cruise interruption.
  • Aviation services where appropriate.

Insurance is included only where expressly stated.

Where Passport Lifestyles introduces an insurance provider, the insurance agreement remains between the Guest and insurer.

Passport Lifestyles will provide reasonable Booking documents to assist with a legitimate claim.

45 Policy Section

BAGGAGE AND PERSONAL BELONGINGS

Guests remain responsible for their personal belongings.

Passport Lifestyles and its Suppliers will take reasonable care but cannot guarantee against every loss, theft or accidental damage.

Loss should be reported immediately so assistance can be provided.

Where loss or damage results from proven negligence or misconduct by Passport Lifestyles or its personnel, the matter will be handled fairly and according to applicable law.

Known baggage restrictions will be communicated before commencement.

46 Policy Section

THIRD-PARTY SUPPLIERS

Passport Lifestyles may provide services directly or engage carefully selected Suppliers.

Passport Lifestyles will:

  1. Exercise reasonable care in selecting Suppliers.
  2. Communicate confirmed Guest requirements.
  3. Provide the Client with a central point of contact.
  4. Assist with legitimate Supplier-related complaints.
  5. Avoid dismissing a complaint merely because another Supplier was involved.
  6. Remain responsible for its own representations, commitments, negligence and contractual obligations.

Supplier conditions may apply where lawful and disclosed before payment.

Nothing in these Terms attempts to avoid a responsibility that legally remains with Passport Lifestyles.

47 Policy Section

PHOTOGRAPHY AND MARKETING

Passport Lifestyles may take operational photographs where reasonably necessary for:

  • Service records.
  • Safety.
  • Coordination.
  • Lost-property documentation.

A Guest’s identifiable image will not be used for advertising, social media or promotional purposes without consent.

Where group photography is planned, Guests will be given a reasonable opportunity to decline.

A Guest may withdraw consent for future marketing use by contacting Passport Lifestyles.

Passport Lifestyles will make reasonable efforts to discontinue future use of the Guest’s image under its control.

48 Policy Section

PERSONAL DATA AND PRIVACY

Passport Lifestyles may collect personal information reasonably required to:

  • Respond to enquiries.
  • Confirm Bookings.
  • Process payments.
  • Arrange tickets and permits.
  • Coordinate hotels, transport, vessels and aircraft.
  • Meet legal and security obligations.
  • Accommodate dietary, medical or accessibility needs.
  • Communicate with Clients and Guests.
  • Process refunds.
  • Handle complaints.

Personal information may include:

  • Name.
  • Contact details.
  • Travel details.
  • Passport or identification information.
  • Payment information.
  • Hotel information.
  • Dietary information.
  • Accessibility information.
  • Medical information voluntarily disclosed for safety planning.

Passport Lifestyles will:

  1. Process personal information for lawful and identified purposes.
  2. Provide appropriate information about how data is used.
  3. Share information only where reasonably necessary.
  4. Take reasonable security measures.
  5. Avoid retaining information longer than reasonably necessary.
  6. Respect applicable rights relating to access, correction, withdrawal and grievance redressal.

Information may be shared with Suppliers, government authorities or service providers only where reasonably necessary to fulfil the Booking or meet a legal requirement.

Passport Lifestyles will maintain a separate Privacy Policy.

49 Policy Section

REVIEWS AND FEEDBACK

Guests may provide honest feedback and reviews.

Passport Lifestyles will not:

  • Require removal of a truthful review as a condition of receiving a legitimate refund.
  • Prevent a Guest from reporting a genuine safety concern.
  • Publish a private complaint without appropriate consent.

Passport Lifestyles may respond professionally and factually to a public review.

Fraudulent, abusive, defamatory or impersonated content may be reported through the relevant platform.

50 Policy Section

COMPLAINTS AND SERVICE RECOVERY

Guests should report concerns as soon as reasonably possible so Passport Lifestyles can try to resolve them during the Experience.

Failure to complain immediately will not automatically remove the Guest’s rights where immediate reporting was impractical.

Complaints may be sent to:

WhatsApp[Insert Authorised WhatsApp Number]

Passport Lifestyles will aim to:

  1. Acknowledge a formal complaint within 48 hours.
  2. Review the complaint promptly.
  3. Request only information reasonably necessary.
  4. Resolve the complaint within 30 days.
  5. Keep the Client informed where additional Supplier investigation is required.

A remedy may include:

  • Apology.
  • Explanation.
  • Correction.
  • Replacement service.
  • Proportional refund.
  • Full refund.
  • Credit.
  • Rescheduling.
  • Reimbursement of reasonable direct costs where appropriate.

The Client should provide the Booking reference and relevant supporting information where available.

51 Policy Section

GRIEVANCE OFFICER

Grievance Officer[Insert Full Name]
Designation[Insert Designation]
Email[Insert Grievance Email]
Telephone[Insert Telephone Number]
Postal Address
[Insert Passport Lifestyles Registered or Operating Address]

Escalating a matter to the Grievance Officer does not prevent the Client from using any consumer, regulatory or legal remedy available under applicable law.

52 Policy Section

REFUND PROCESSING

Once approved, Passport Lifestyles will initiate a refund within seven business days.

Refunds will ordinarily be returned through the original payment method.

A bank, card issuer or payment provider may require additional time to complete the refund.

Passport Lifestyles will provide a refund reference or reasonable evidence of initiation upon request.

No administrative or payment-processing fee will be deducted from a refund due under the standard cancellation policy.

Where a Special Arrangement deduction applies, Passport Lifestyles will provide a clear explanation and reasonable supporting information where available.

53 Policy Section

PAYMENT DISPUTES AND CHARGEBACKS

Clients are encouraged to contact Passport Lifestyles before initiating a chargeback so the concern can be reviewed promptly.

This does not remove the Client’s right to raise a legitimate payment dispute.

Passport Lifestyles will not penalise a Client for making a good-faith complaint.

Fraudulent, duplicate or knowingly false payment disputes may be contested using relevant Booking and service records.

54 Policy Section

PASSPORT LIFESTYLES’ RESPONSIBILITY

Passport Lifestyles is responsible for exercising reasonable care in:

  • Designing and confirming the Booking.
  • Communicating material information.
  • Selecting and coordinating Suppliers.
  • Handling Client payments.
  • Processing refunds.
  • Responding to safety concerns.
  • Delivering services under its direct control.
  • Providing reasonable assistance during disruption.

Passport Lifestyles does not exclude or limit liability for:

  • Fraud.
  • Wilful misconduct.
  • Gross negligence.
  • Death or personal injury caused by negligence where liability cannot lawfully be excluded.
  • Breach of mandatory consumer rights.
  • Any liability that cannot lawfully be excluded.

Where Passport Lifestyles breaches its contractual obligations, the Client may seek a fair remedy for reasonable, documented and directly resulting loss in accordance with applicable law.

Passport Lifestyles will not ordinarily be responsible for highly remote or indirect losses that were not reasonably foreseeable when the Booking was confirmed.

Nothing in this section prevents the Client from seeking any remedy available under applicable law.

55 Policy Section

CLIENT RESPONSIBILITY FOR DAMAGE

A Client or Guest may be responsible for intentional damage or damage caused by serious negligence to:

  • Vehicle.
  • Vessel.
  • Aircraft.
  • Hotel room.
  • Venue.
  • Equipment.
  • Heritage property.
  • Supplier property.

Passport Lifestyles will provide reasonable evidence of:

  • The damage.
  • The cause.
  • The repair or replacement cost.

Ordinary wear and tear will not be charged.

Passport Lifestyles will not retain a damage amount without a reasonable explanation.

56 Policy Section

INTELLECTUAL PROPERTY

The Passport Lifestyles name, logo, original itineraries, descriptions, photographs, videos, designs and original materials are protected by applicable intellectual property law.

Clients may use Booking documents and itineraries for:

  • Personal travel.
  • Internal company planning.
  • Legitimate advisor-client communication.

Commercial reproduction, resale or unauthorised publication of confidential proposals, trade rates or original content requires written approval.

This provision does not restrict Guests from sharing:

  • Their own photographs.
  • Honest reviews.
  • Lawful commentary.
  • Personal travel experiences.
57 Policy Section

TRAVEL ADVISORS, TOUR OPERATORS AND BUSINESS CLIENTS

For Bookings placed by a travel advisor, tour operator, DMC, cruise company, corporation, event agency, concierge or other business Client:

  1. The business Client confirms it is authorised to place the Booking.
  2. The business Client must communicate relevant details to the Guests.
  3. The payment terms in the accepted quotation or commercial agreement apply.
  4. Confidential or net rates must remain confidential where agreed.
  5. Guest changes and cancellations should be communicated promptly.
  6. Mandatory Guest safety and consumer rights remain protected.

A signed agreement, accepted proposal or written service contract may supplement these Terms.

Any different condition must be clear and specifically agreed.

58 Policy Section

COMMUNICATIONS

Official communications may be sent through:

  • Email.
  • WhatsApp.
  • SMS.
  • Telephone followed by written confirmation.
  • Booking system.
  • Website account.
  • Formal letter.

The Client should provide accurate contact details and monitor communications close to the Experience date.

Passport Lifestyles will not treat a material amendment as accepted merely because a message was sent.

Express acceptance may be requested for a material change.

59 Policy Section

GOVERNING LAW AND DISPUTE RESOLUTION

These Terms are governed by the laws of India.

The Client and Passport Lifestyles are encouraged to first attempt resolution through:

  1. Passport Lifestyles Customer Care.
  2. Passport Lifestyles Grievance Officer.
  3. Good-faith negotiation.
  4. Mutually agreed mediation.

Subject to applicable consumer protection law, courts and tribunals having lawful jurisdiction in Mumbai, Maharashtra may hear disputes arising from these Terms.

Nothing in this section prevents a consumer from approaching any consumer commission, court, authority or forum that has jurisdiction under applicable law.

60 Policy Section

CHANGES TO THESE TERMS

The version of these Terms accepted when the Booking is confirmed will govern that Booking.

Passport Lifestyles may update these Terms for future Bookings.

A later update will not retrospectively reduce the Client’s rights under an existing confirmed Booking unless:

  • The Client expressly agrees; or
  • The change is required by law.

The effective date and latest version will be displayed on the Passport Lifestyles website.

61 Policy Section

SEVERABILITY

If a section of these Terms is found to be unlawful, invalid or unenforceable, it will be adjusted only to the minimum extent necessary.

The remaining sections will continue to apply.

62 Policy Section

NO WAIVER

Where Passport Lifestyles provides flexibility, a waiver, refund, credit or goodwill remedy in one case, this does not prevent fair application of these Terms in another case.

A delay by either party in exercising a right does not automatically remove that right.

63 Policy Section

COMPLETE BOOKING AGREEMENT

The complete Booking agreement may include:

  • These Terms.
  • Product page.
  • Confirmed itinerary.
  • Booking confirmation.
  • Voucher.
  • Accepted quotation.
  • Accepted proposal.
  • Invoice.
  • Clearly accepted Special Arrangement condition.
  • Privacy Policy.

Where documents conflict, the interpretation that best reflects the expressly confirmed service and preserves mandatory Client rights will apply.

A product-specific condition will not reduce the standard cancellation protection unless it was clearly disclosed and accepted before payment.
